NORTHBROOK ATHLETIC CLUB COMMITTEE MEETINGS

  1. Apologies – None
  2. Matters arising from previous minutes – Rob Cox is standing down from the committee as Coach Co-ordinator, but will continue to lead some training sessions alongside other leaders. Many thanks to Rob for all of his contributions to this club role.
  3. Treasurer’s Report – Tony Mackness circulated details before the meeting and answered questions about the club balance. The club has received details from England Athletics about future subscription fees increasing. This includes a £50 flat increase, plus a £2 increase per member. Tony has drafted an AGM recommendation for a fee increase to cover some of the cost. Also, the bank has added Bob Adams and Mark Baker as payment approvers. Now, 2 people need to authorise payments. Terry Moynihan will assist Matt Hathrell with accounts auditing before the AGM.
  4. Membership – We have 234 total members so far. There are now some reduced membership rates for the final few months of the year for new members.
  5. Welfare – England Athletics asked us to check our membership portal and update details of our Welfare officers. Some suitable courses are available for them to take.
  6. connectMyClub – Roger Ladbury attended to discuss progress with ‘Connect My Club’ for membership communications. The use by members is limited, at the moment. Other types of communication are still being used. Roger is still working on some technical database issues, and is liaising with the app creators. The end of January 2024 was suggested as a date when we could try to fully move communications to ‘Connect My Club’ and stop using other messaging areas. The committee will need to send emails through the app. The weekly speech could be added to the app soon. It may eventually be possible to accept subs payments in the app, but we will not do so at the moment.
  7. Health and Safety Incidents – An incident has been recorded in the last month. The individual is recovering well.
  8. Risks and Incident Forms – Terry Moynihan said that scenarios are being considered and will now be presented at the January 2024 meeting.
  9. Events – Spencer Davies sent out details of the club cross-country championships to members. The women’s Midlands League cross-country and men’s Birmingham League cross-country events have taken place at Aldridge, then Gloucester and Stratford. The Warks Cross-Country Championships are in December at Warley Woods.
  10. Social Events – Sara Duffy has sent final details about a Christmas event at the Artisan restaurant on 9th December. The Awards Night is being booked for early March 2024 at Jaguar.
  11. Training – Thanks to all the leaders for continuing to organise sessions. However more run leaders are needed and we will seek volunteers.
  12. AGM – This will again be virtual, and will be held on Thursday 11th January 2024. We will contact the membership about options if they do not have online access. We will send out details of how to enter proposals and nominate people for committee and non-committee posts.
  13. Runners of the Month – November 2023 – Men: Rob Cox (sacrificed good time at Derby 10 to help a member, plus all his work organising and leading sessions), Women: Kathryn Adams (great runs at 10 miles, 5 miles and cross-countryXC).
  14. Any other business:
    1. Benidorm – though not an official club trip, around 45 members and supporters travelled to the Benidorm Half-Marathon and 10km races with great success, including winning 3 age category trophies.
    2. London Marathon Club Draw – we have 2 places confirmed. A draw will take place in December. New AGM rules will be applied for eligibility and first time London Marathon runners.
  15. Next Meeting – Tuesday 2 January 2024 at 7.30pm to be held by video conference.
