NORTHBROOK ATHLETIC CLUB COMMITTEE MEETINGS

  1. Apologies – S. Duffy (Social Secretary)
  2. Matters arising from previous minutes – None.
  3. Finance – Financial report discussed which showed a decrease in the bank balance due to expenditures on the awards night, 10K race, and monthly garage rent. They also discussed upcoming commitments such as the 10K medals and ribbons, individual athlete EA registration fees.
  4. Membership – Tim reported there was an increase in members renewing their membership. For those who have not renewed their membership Tim is trying to catch up with them to sort it out.
  5. Women – Sally gave a resume of women’s running, including good performances by several women, such as Kirsty Murray PB at Milton Keynes and Sarah Batson’s first place finish at Holbrooks. There were also 18 women at the road race relays.
  6. Men – Spencer updated on men’s performances, excellent performances at the Road Race Relays & supportive environment. Spencer was thanked for all his work on organising the teams for the Road Relays
  7. Coaching – Rob reported that there is an increase in doubling up in training sessions, and they have two new coaches. Caroline Hughes and Jo Evans.
    – Stephen King and Claire King have completed their videos so two more coaches are expected to complete their qualifications soon.
    – No safety incidents to report.
    – Updated proposal on CIRF agreed. ACTION Mark Baker to file for records.
  8. 10k race – Terry provided an update on the planning for the 10K race, including obtaining permission for road closures and safety measures. They also discussed promoting the 5 to 10K training group, commencing on 27th April.
    – The Run Britain website is currently closed, due to reopen this week so the online registration function was not yet available. Terry monitoring.
  9. Runners of the Month – March 2024 – Women: Becky Lewis, nominees Alexis Copeland, Kirstie Murray, Megan Youden, Jill Pittard, Men: Tom Hughes, nominees Lee Newark, Bob Adams, Mick Duggan.
  10. Summer handicap – Bob and Tim discussed preparations for the upcoming race, including the start list, course, and marshals.
  11. Club Standards – Terry raised this issue following an EA seminar. There is a need to ensure that all the clubs have policies and procedures aligned and of a certain standard.
    – Tim discussed various policies that the committee needs to work on, including legal structural, disciplinary, GDPR, inclusion and diversity, safeguarding, and health and safety policies. He suggested having a separate conversation outside of the meeting to discuss these policies in detail.
  12. Listed coaches aligned to the club – need to review it and update it accordingly.
  13. Cross-country hosting with Sphinx – proposed joint hosting of the final men & women’s cross-country in February 2025, Coombe Abbey. All agreed to support this.
  14. Any other business:
    1. Tim raised whether the club should pay for non-competitive members to participate in events that are not affiliated with EA. Agreed to review on a case by case basis.
  15. Next Meeting – Tuesday 7 May 2024 at 7.30pm to be held by video conference.
